Creating an Aircraft or Fleet
This article outlines the different methods available to create a new aircraft or fleet in EBIS.
Depending on your workflow and volume of aircraft, you can:
- Manually create an aircraft in the Aircraft Module
- Import one or multiple aircraft from a file
- Create an aircraft directly through a Work Order
Each method is explained in detail below.
Creating an Aircraft from the Aircraft Module
Overview
This method is commonly used when adding a single aircraft during onboarding or when a new aircraft is added to a customer's fleet.
💡 If you're setting up multiple aircraft at once, consider using a file import instead.
Step-by-Step Instructions
- Navigate to Modules > Aircraft.
- Click "+ Add New Aircraft".
- Fill out the primary required fields:
- Default City
- Meter Profile
- Registration Number (must be unique)
- Primary Customer
- Click Add and Go To.

Once saved, you'll be redirected to the new Aircraft detail page.
Creating an Aircraft from a File Import
Overview
If you're onboarding a fleet or migrating from another system, the file import tool provides a fast way to bulk-create aircraft records.
💡 Use the import template provided in EBIS to ensure the correct format.
Step-by-Step Instructions
- Go to Config > Import Data.
- In the Action dropdown, select Import data from a file.
- Select Import Type > Aircraft.
- Download the Aircraft Import Template.
- Fill out the spreadsheet:
- Required fields: Tail Number, Customer Name, Make/Model, Serial Number
- Optional fields: Meter Profile, Avg Daily Utilization, etc.
- Save the file as
.xlsx
or.csv
. - Return to EBIS and set the Update Type > Insert New Records and upload your file.
- Map the spreadsheet columns to EBIS fields.
- Review the preview, then click Import.
Warning: Imports cannot be undone. Review carefully before confirming.
After import, new Aircraft records will appear in the Aircraft Module.
Creating an Aircraft from a Work Order
Overview
If a technician creates a Work Order and references an aircraft that does not yet exist in the system, EBIS gives the option to create the aircraft on the fly. Users can either create the aircraft manually or use data pulled from the FAA aircraft registry.
Step-by-Step Instructions
- Start a new Work Order.
- In the Registration Number field, type a new Tail Number.
- When prompted, click Add New Aircraft.
- Choose one of the following options:
- Manual Entry: Complete the required fields:
- Default City
- Meter Profile
- Registration Number (must be unique)
- Primary Customer
- Lookup from FAA (if enabled):
- Click "Find in the FAA Database" to auto-populate Make, Model, and Serial Number fields.
- Review and confirm the imported data.
- Fill in any remaining required fields (e.g., Default City, Meter Profile, Customer).
- Manual Entry: Complete the required fields:
- Click Add and Close.
The system will create the aircraft record using the information entered or retrieved. You can return to the Aircraft Module later to complete any additional details.
