Applying Media to an Aircraft or Fleet

This article explains the difference between Aircraft Media and Fleet Media, how they appear in the system, and when to use each.

In EBIS, media files such as photos, documents, checklists, or manuals can be linked to an individual Aircraft or to a Fleet (defined by shared Make/Model/Spec). This allows you to centralize important content for reference, compliance, documentation, or customer access.

This article explains the difference between Aircraft Media and Fleet Media, how they appear in the system, and when to use each. It also walks through how to associate media with an Aircraft or Fleet.


 

Using Aircraft Media and/or Fleet Media

What’s the Difference?

Where They Show Up

  • Aircraft Media appears on the Media tab of a specific aircraft record.
  • Fleet Media appears under the same tab, but only if the aircraft belongs to a Fleet (i.e., shares Make/Model/Spec with other aircraft).
  • Both types of media can appear in:
    • Work Orders (reference purposes)
    • Reports and customer-facing documentation
    • The Aircraft Module UI for fast access

What Drives Them?

  • Aircraft Media is manually uploaded to an individual aircraft.
  • Fleet Media is uploaded via the Make/Model/Spec Config page.
  • For an aircraft to inherit Fleet Media:
    • It must have a valid Make, Model, and Spec
    • That combination must have media files associated at the config level



Associating Media to an Aircraft

To attach media files directly to a specific aircraft:

  1. Navigate to Modules > Aircraft.
  2. Select the aircraft record.
  3. Click into the Media tab.
  4. Drag and drop or click the paperclip icon to upload files (PDF, image, DOC, etc.) and provide a title or notes.
  5. For videos, click the link icon in the top right to add a video URL and title.

📘 Files attached this way are only visible for that aircraft. This is ideal for tail-specific photos, forms, or instructions.


 

Associating Media to a Make/Model (Fleet)

To attach shared media across a fleet of aircraft:

  1. Go to Config > Fleet
  2. Select the Make/Model/Spec.
  3. Click into the Media tab.
  4. Drag and drop or click the paperclip icon to upload files (OEM maintenance manual, fleet-wide checklist, etc.) and provide a title or notes.
  5. For videos, click the link icon in the top right to add a video URL and title.

Any aircraft assigned to that Make/Model/Spec will automatically inherit this media under their own Fleet Media tab.

💡 Useful for saving time and reducing redundant uploads for similar aircraft.


 

Associating Media from a Different Make/Model/Spec to an Aircraft

If you need an aircraft to reference media from a different Make/Model/Spec (Fleet), you can use the Fleet Config Override field to accomplish this. This is helpful when an aircraft is configured similarly to another fleet, but its assigned Make/Model/Spec differs.

How to Override Fleet Media

  1. Navigate to the target Aircraft record.
  2. Click into the Main Info tab.
  3. Locate the Fleet Config Override dropdown.
  4. Select the alternate Make/Model/Spec whose Fleet Media you want to apply.
  5. Click Save.
  6. Navigate to the Fleet Media tab to confirm the inherited Fleet Media now appears.

⚠️ This does not change the aircraft’s actual Make/Model/Spec assignment. It only redirects where Fleet Media (and Parts Catalogs) are inherited from.

⚠️ This also redirects where the Parts Catalog is inherited from. To maintain the original Parts Catalog, use the Parts Catalog Override and set the original Make/Model/Spec.

This method is ideal when:

  • You want to avoid duplicating media across similar Fleets
  • The aircraft’s official Make/Model differs slightly from the standard config
  • You want to apply a standardized checklist or OEM documentation from another group
