There are user security access levels and validations that may prevent a status change for a work order
Introduction
You may receive an error when attempting to changing the status of a work order. While EBIS will give you an interactive Validation sidebar to work through the items, this article is meant to help outline why this can happen.
User Profile Access
If the user account changing the status has a user profile with limiting access, they may receive a validation error.
Check the access levels in Config > User Profiles > (select a profile) > Access Levels > Work Orders. The various "Status" access levels may need to be selected/de-selected accordingly.
An example of this is, if a user does not have "Status - Open to Completed", they will not be able to change the item status to any W/O status that has a Status Type of "Completed" (see how to customize W/O Status)
Another common scenario is where a user may not have access to reopen a work order that was set as a Completed status, because of "Status: Complete to Open" user access level.
W/O Item Details
If a technician has an active service timer, you will receive an error.
Outstanding outside repair that is on a P/O > Service will stop the status from being changed.
All City Options
Company policy options set in All City Options > Options > Work Orders > Completion & Validation may stop a status change, including specifically:
- All items must be marked Finished to Complete W/O: if set, each item status must be set to a Finished item status type
- Work Order must have service hours to complete: if set, a validation will occur if no service hours are on the work order, unless it is GSE standing work order, or there is outside repair on a work order item.
Missing Meter Readings
If you are working on an aircraft or powered GSE asset, make sure you have entered current data in the Readings sidebar.
Tire Service
For GSE equipment work orders, if managing tire service information is enabled for the city and vehicle type, make sure this is entered in the Inspections > Tire Service sidebar.
GSE Equipment Signoffs
If a GSE equipment work order requires a PM document signoff or a Quality Control signoff, and it is missing, an error will be thrown, requiring the user to first complete the necessary signoffs.
Tracking Part Warranty Dates
By default, EBIS will ask users to enter a warranty date for parts costing over $800. This amount can be manually configured to an amount other than this default by going to All City Options > Options > Work Orders > Completion & Validation > "Ask for warranty date for parts costing ____"
Voiding a Work Order
If voiding a work order, you can require a corrective action in item #1. This is recommended, to help understand why the work order was voided. This is set in All City Options > Options > Work Orders > Completion & Validation > "Require Corrective Action when Voiding W/O".
