How to set up Electronic Signatures to fit FAA requirements (EBIS PRO version only)

Feature Notes for Advanced Signoffs

    • Advanced e-signature signoff options are found in Config > Lists > Item Signoffs (under Work Orders)
      (Green = Enabled; Grey = Disabled)
      •  “E-Sign”
        • Enable this is for “e-signature” signoffs on work orders
        • Users must have an Advanced Access profile to complete this type of signoff
        • Users are required to configure an inspection code that only that user can set, and it is required before any adding/removing of a signoff. 
          • Users can do this from “My account” in the top right corner. Click on Username > My Account
                                   
          • Enter Inspection Code in Inspector Code field
          • Or click on the Edit Icon next to Inspection Code field to reset new code
      • "Lock C/Action"
        • Enabling Lock C/Action allows the CORRECTIVE ACTION to be LOCKED once the specified signoff has been completed
      • "Lock Item"
        • If Lock Item is enabled, the entire ITEM will be LOCKED when a specific signoff occurs
        • This is an ultimate lock with no overrides (aka “edit when finished” type of access)
        • Normally, users can’t add/remove signoffs if the item is in “Finished” status, but if the work order item has a Lock Item signoff, this is allowed (otherwise everything becomes locked and there is no way to unlock it).
      • "Stop if Outstanding Parts"
        • If Stop if Outs. Parts is enabled, signoff is not allowed when there are outstanding parts (qty need > qty used)
        • Also prevents the user from adding parts that are qty need > qty used


    • ALL CITY OPTIONS options for Work Orders > Item Signoffs
       
      • Inspection Code: Minimum Password Length
        • Default is 6 characters
      • Inspection Code: Password Requirements
        • If none, alphanumeric, or numeric (for a “PIN”) is set
      • Inspection Code: Account Requirements
        • If users are allowed to make e-signature signoffs from any user account, or if they have to be logged into their own. Note that if users complete a signoff that requires a code from any machine, they have to enter both their last name and their inspection code for authentication.
    • There is additional logging occurring for these “Req. Code” signoffs about the current user account, IP address, etc.  
    • Note that the “Item: Signoff - Remove Others” access profile option will continue to work for these new “Req. Code” signoffs, but it will make additional logging about this.

NOTE: Final item signoff and RII item signoff moved from All City Options to City specific options.  This allows for better flexibility if cities have different signoffs.

NOTE: the electronic signature is validated and more of a SECURE DIGITAL signature per FAA e-signature requirements, and is not a literal digital signature change on the invoice or printouts.
