Tracking Consumables in EBIS 5

In this article we demonstrate the recommended workflows for Receiving and Tracking consumable parts through POs in EBIS

Consumables Defined

Consumables in aviation maintenance are materials and products used to maintain and protect aircraft systems. Consumables can be divided into two categories:

  • Items not part of the aircraft: Solvents, cleaning agents, emery paper, masking tape, and cutting oils, etc.
  • Materials that become part of the aircraft: Hydraulic fluids, lubricating oils, greases, sealants, adhesives, paints, lock-wire, and high-temperature tape, etc. 

Within EBIS 5 these parts are typically not itemized on a squawk/item.  Instead shops will recover these costs through a preset Shop Supplies fee added to each work order.  As such inventory and financial reporting workflows for consumables are treated differently than typical parts inventory.  See below for a walkthrough of recommended workflows for tracking and reporting on consumable parts movement in EBIS 5.

Key Steps

  1. Mark Part as Consumable in Master Part Record:

    • In the master parts record, Locate the slider for consumable and ensure it is toggled on.

    • Save the changes to mark the part as consumable.

  2. Add Consumable Part to Purchase Orders:

    • Search for the consumable part in the purchase order module.

    • Select the part and add the quantity needed.

    • Choose a destination type based on your inventory needs (e.g., shop for non-inventory items).

    • Add the part to the purchase order.

  3. Confirm and Receive the Purchase Order:

    • Confirm the purchase order if required by configuration.

    • Proceed with the receiving process to put the part in an ordered state.

    • Receive and approve the part in the system.

  4. Move Purchase Order to Completed Status:

    • After receiving the part, move the purchase order status to completed.

  5. Export Consumables Report:

    • In the purchase orders module, select the option to export consumables.

    • Choose the completed date range for the report.

    • Export the consumables report in Excel format for download.

Cautionary Notes

  • Ensure that the part is correctly marked as consumable in the master part record before adding it to purchase orders.

  • Select the appropriate destination type based on whether the consumable item needs to be tracked in inventory or not.


Tips for Efficiency

  • Regularly check and update consumable parts in the system to maintain accurate tracking.

  • Utilize the export feature to generate consumables reports for better inventory management.
