Event Based Notifications
How-to Setup and Manage Event-Based Notifications
1. Understand the notification permissions required
- Event-based notifications must be enabled through user profile permissions first.
- Advanced access users have a full notification permissions section where you can turn specific capabilities on or off.
- Tech-level users only have the Disable Notifications toggle available.
- Key advanced permissions mentioned:
- Add/Edit/Delete notifications
- Admin access to view and manage all notifications
- Disable notifications for a user or user group
- Manage Notification Events
- Manage Own Events
- Admin permission for managing other users’ events
2. Open the Notification Events area in Config
- As an admin, go to the Config Console.
- Open the User List and select the user you want to configure.
- In the left-side menu, click Notification Events.
- Use the available filters at the top if needed:
- City drop-down filter
- Stockroom drop-down filter
3. Add a new event notification
- In the Notification Events window, click the plus/add icon in the top-right corner.
- A setup window opens for the selected user.
- Choose the event name you want to configure.
- Event types:
- OTC created / OTC status changed
- PO created / PO status changed
- Approvals Portal estimate submission
- Approvals Portal item status changes
- New customer message in the approvals portal
- Work order created / reopened / status changed / completed / voided
- Work order item events such as parts status change, approved/requested, fulfillment notifications, and outside repair added
4. Choose notification delivery methods
- After selecting the event, choose which notification channels should be enabled.
- Available toggles:
- In-app / IBIS notification: shows in the header bell icon
- Email notification: sends to the user’s configured work email
- Push notification: intended for the native mobile app when released
5. Apply filters to narrow the event
- Add filters to make the notification more specific.
- Example show:
- Event: Work Order Item Parts Approved and Requested
- Filter type: City
- Filter value: ATX
- You can add more than one filter if needed, depending on how specific you want the notification to be.
- Use the delay in minutes field if you want to prevent too many notifications from firing at once.
- The delay applies after the event is triggered.
- Hovering over the info icon provides a short explanation of how the delay works.
7. Customize the subject and message body
- Enter a subject line for the notification.
- Add markup tags so the message can dynamically include event details like work order number, item number, part summary, and quantity needed.
- In the body, include the details you want the recipient to see.
- The example message includes:
- Parts approved/requested on a work order
- Work order number
- Item number
- Part summary
- Quantity needed
8. Save the notification event
- Click Save to create the event.
- In the example, the notification is configured for:
- A specific city
- Email delivery
- In-app bell notification
- Future mobile push notification
9. Manage your own events from My Account
- If a user has permission to manage their own events, they can do so from My Account.
- Click your name in the top-right corner, then select My Account.
- Open Notification Events in the left menu.
- This area is for managing your own notification preferences and events.
10. Know the difference between Config and My Account
- Config > Users > User > Notification Events lets admins manage notifications for other users (permission based).
- My Account > Notification Events lets users manage only their own events (permission based).
- The Config area is used to view, create, and assign event-based notifications across user accounts.
- The My Account area is for personal notification management only.
