Applying Special Pricing to an Aircraft - Set Specific Department Labor Rates Using Contract Pricing

EBIS allows you to apply contract-specific labor rates to individual aircraft, ensuring that special pricing agreements are automatically reflected on work orders. This can be especially useful for high-volume or managed customers with negotiated rates based on department, city, or service type.
This article outlines how to configure and apply Contract Pricing by department for a specific aircraft and how these rates are used on work orders.
Using Contract Pricing to Set Specific Department Labor Rates for an Aircraft
Contract Pricing is managed at the aircraft level under the Contract Pricing tab. This feature allows you to override standard labor rates by setting custom hourly rates by department and city.
Use cases include:
- Aircraft with negotiated avionics labor rates
- Managed fleet customers with reduced engine labor pricing
- Fixed-rate service packages per department
Each entry lets you define:
- City – Apply to a specific city or all cities
- Department – Apply to one or more labor departments
- Labor Rate – The hourly labor rate to be used on matching work order items
📘 You can define departments in Config > Lists > Work Order > Departments.
Understanding How Contract Pricing Is Handled on the Work Order Line Item
When a Work Order is created for an aircraft with Contract Pricing:
- Go to the Items tab of the Work Order
- Open a line item and scroll to the Billing section
- Select the appropriate Department from the dropdown
- EBIS will auto-apply the Contract Pricing for that department and city (if applicable)
If a matching Contract Pricing entry is found:
- The Special Hour Rate Use toggle will be turned on
- A Special Hour Rate field will appear with the correct custom rate
This rate will be used for invoicing and shown clearly on billing printouts.
💡 If no Contract Pricing is found for the department/city combo, the system defaults to the standard labor rate for that city.
Creating and Editing Contract Pricing for an Aircraft
To manage Contract Pricing entries:
- Go to the Aircraft Module > select an aircraft
- Click the Contract Pricing tab
- Click the + Add button in the top right
- Choose a City (or select All Cities)
- Select a Department from the dropdown
- Enter the Hourly Labor Rate
- Click Add and Close
To edit an existing rate:
- Click into the entry and make changes
- Save your edits
⚠️ Changes to Contract Pricing will not automatically affect open work orders. You may need to manually update line items or re-select departments to apply new pricing.
